Privacy by design calls for the inclusion of data protection from the onset of the designing of systems, rather than as an additional concept. 42 market research has always explicitly ensured that we maintain the highest data protection compliance and all of our systems and processes have already been designed with that in mind and therefore meet (and in many cases exceed) the requirements of all data protection regulations. Additionally, we regularly undertake full data impact and data risk and compliance assessments of all our processes to ensure that compliance is maintained on an ongoing basis.

Our data privacy policy is regularly reviewed and updated to ensure that it is compliant with the laws and requirements of all of the international markets in which we operate. Our privacy policy confirms details such as which personal identifiable information we collect; how we process and use that data; our use of cookies; how to contact us for subject data requests; how to opt out and so on as required by all international laws. Our privacy policy will allow for the disclosure of participants when required by international or national laws, e.g. Loi Bertrand, CNOM etc. For more information, click here.

Subject data requests for the “right to access” or “right to be forgotten” can be submitted at any time using the details mentioned in our data privacy policy. 42 market research has a documented subject data request policy which includes instructions/processes on how to verify the respondent making the request is genuine/valid and/or what to do if they are a relative of the respondent and/or if they are assigned to act on someone’s behalf (e.g. under Mental Health Act’s etc.); it details how to check if we have enough information to identify the data that the person is requesting; what to do if the request relates to third parties and what should be anonymised in any data we provide (if required or relevant); it also mentions timeframes on responding to the requests as well as what to do if we cannot provided the data required; what to do if errors in the data are identified and/or what to do if we are requested to stop processing that person’s data and so on.

All 42 market research data is held on secure, encrypted servers that are regularly backed up. All servers have intrusion detection software that monitors all accesses of the servers and that would alert us to any unised access attempts whether successful or not. Furthermore, our systems have fully updated and top-of-the-line firewalls and anti-virus programs running at all times. Full logs are kept that would enable us to identify any breaches in the very unlikely case that it happens. All of our systems and processes are designed with the highest data protection in mind from concept to delivery and are regularly reviewed and tested to ensure compliance and protection is maintained at all times.

42 market research has a documented data breach policy detailing what steps should be undertaken in the very unlikely event of a data breach occurring, which management need to be involved, steps to identify which data has been breached, steps on how to stop the breach and prevent further breaches, details of the relevant data protection commissions to alert within the timeframes specified according to the laws and regulations within that territory.

42 market research is an international company operating in multiple markets and so follows all international regulations for transferring and processing data. The data we hold may be stored on servers located outside of your current geographic region. Because of the global nature of our business, there may be times when we need to transfer data to other locations which may also be outside of your geographic region. Whenever 42 market research transfers data to any other locations, we will put in place adequate measures to protect the data as required under the applicable laws of those regions. For example, these measures may include any/all of the following: encryption; password protection; time limited auto-destruction; anonymisation/pseudonymise measures; intrusion detection/prevention software; access logs etc.

We conduct periodic reviews of all of our practices to ensure that all safeguards are implemented and remain state of the art according to all international and national laws.

All partners that we use for any studies are carefully verified prior to our first project with them. This includes that they must follow explicitly all industry standards and codes. We will require all partners to agree to and to sign our terms and conditions which contain clauses in relation to all data protection requirements including data privacy, data processing, data transfers, non-disclosures etc. We will undertake regular audits of all partners to ensure that compliance to all international laws and industry standards and codes are being maintained.

42 market research is an independent, internationally operating, market research fieldwork agency specialised purely on the healthcare sector since 2002. We are successfully operating in more than 60 countries around the world interviewing physicians, dentists, pharmacists, opticians, dietitians and other healthcare-related professionals concerning their experiences and opinions towards any health-related subject; all 100% online. 42 market research remains one of the pioneers and most experienced companies in online market research. 42 market research is an Associate Member of EphMRA (European Pharmaceutical Market Research Association) and a member of the BHBIA (British Healthcare Business Intelligence Association).
All 42 market research panels are built, operated, regularly updated, quality-controlled and owned exclusively by us. Our panels are actively managed internally to guarantee their validity and accuracy for each and every project. We do not undertake any form of web intercept sampling or river sampling. We focus on developing and strengthening our panels of active respondents via our own quality-controlled processes.
42 market research uses its panels only for market research purposes. Members will not be approached under any circumstances for any other reason, e.g. telemarketing, direct marketing activities.
42 market research operates online panels across many global markets, using a variety of recruiting methods to attract even the hard-to-reach groups. Our dedicated team is well experienced in sourcing those hard-to-reach groups and employ a range of methods and processes in which to recruit them to the online panels. All sources and recruitment methods for these groups will always undergo our internal quality control procedures to ensure the legitimacy of the panel members before they are invited to any online survey.
If 42 market research needs to source a partner to assist on any fieldwork activities, this is always communicated in advance to the client prior to us contacting any partners. If no objection is received, then we will contact partners within the relevant markets. We only contact reliable partners that meet our own highest quality expectations and who can provide relevant documentation to back-up our requirements on GDPR compliance, quality, security etc.
The sampling processes of 42 market research allow us to deploy our sample in any method as required by that specific project; this includes deploying batches according to time zones, geography, demographical requirements etc. Only members that are relevant to a specific project subject are contacted.
42 market research does not use a survey router.
42 market research collects only the data that is absolutely necessary in order for us to include the member in online surveys, but at the same time to validate that they are genuine respondents. This includes the members’ contact details; areas of expertise plus verification details. Member data is updated at regular intervals. In line with industry standards and GDPR, panel members are able to request access to their data or to opt-out of studies at any time.
42 market research members are typically invited via an email invitation to a project. The invitation will clearly inform the member why they are being contacted, the subject of the project, the remuneration amount and study length. They will also be informed about how to opt-out of the project/panel, who we are and how to contact us. All respondents are required to opt-in at least once to every project.
Every 42 market research panel member will receive incentives once they have fully completed an interview. The incentive a member will receive will vary according many factors including, but not limited to, the length of the interview. The member is free to choose how to receive their incentive payment from the options available to them for that country.
We require the following information in order to provide an accurate estimation on feasibility: Country or countries that the study will be run in; target group(s) and sample size(s) required; length of interview; anticipated (or known) incidence rates; methodology required plus whether or not this is a top-up study. Ideally, if there are any restrictions on fieldwork timings, those too should be communicated.
All employees of 42 market research are taught that the respondent satisfaction is paramount. We offer the respondents maximum opportunities to convey any concerns, feelings or grievances that they may have with a study and pride ourselves on our very quick response rates to those communications.
42 market research is able to provide, upon request, almost any details that our client is interested in, however we will always be careful not to reveal any information that makes it possible to identify any of the respondents, regardless of whether they completed the interview or not
42 market research employs strict quality controls on all procedures and on all data collected in order to identify any results/respondents requiring additional verification checks. Members that are identified as failing the quality control checks are flagged within our system and will not be considered for future projects.
42 market research allows all its members the opportunity to either opt-in or opt-out of any project through their own choosing, and without obligation or prejudice. If requested, we can exclude or only invite participants who have participated in previous studies.

Additionally, 42 market research respects the total privacy of its members and will never forward, sell or communicate the personal details to any third parties under any circumstances.

All studies are reviewed and tested to identify the presence of any commercially sensitive data/materials. Confidentiality clauses should be included as standard at the start of those studies in relation to the information the questionnaire contains.

Wherever possible, the programmed questionnaires should also be set up in a way that will not allow any text or images to be copied ‘easily’ direct from the survey screens.

Our systems and processes are being checked against relevant ISO requirements to ensure the highest quality is maintained.

42 market research panels are compliant with all regional, international, and local laws with respect to privacy, confidentiality, and children – in fact our panels do not include children whatsoever.

42 market research adheres to (and often exceed the expectations of) all of the international industry standards including those of GDPR, ESOMAR, EphMRA and Insights Association (formerly CASRO/MRA) amongst others. All of our procedures are routinely checked against all available standards to ensure that we maintain our adherence to the very latest changes in those standards.
